The Coding Network, through its preferred vendor relationship with the Florida Orthopaedic Society, is offering all Florida Orthopaedic Society members a free ten (10) operative cases per practice coding review, or, if your practice has an ASC, we are offering a free ten (10) case review of the ASC services. The instructions for gathering and sending the materials for the coding reviews are below:

To take advantage of our free coding review(s), please prepare the following:

Orthopedic Surgical Cases
1. Copies of ten (10) operative reports per practice.

2. Copy of HCFA 1500 claim form for each operative report.

Or
ASC Facility Services Cases
1. Copies of medical records for ten (10) cases.

2. Copy of associated UB-92 claim form for each case.

3. If applicable, copy of pathology report and/or charge sheet used to capture billing codes.

Please allow three to four weeks to complete the review. You will receive a patient-by-patient comparison of your original coding to The Coding Network's coding with a narrative describing any variances. You will also receive a summary page identifying the quantity and types of coding errors (if applicable).

Background, Structure, and Services
Below is a brief background of The Coding Network, its organizational structure, and a description of the services we provide.

The Coding Network, LLC was established in 1995 with the concept that accurate coding plays an enormous part in improving reimbursement while underscoring the importance of compliance. The company's founders, Mark Babst and Neal Green, have a combined 60 years of experience in the medical billing and coding arena. After successfully providing billing and coding services to prestigious academic centers for over 19 years, The Coding Network was created in response to the ever-growing complexity of coding and compliance regulations.

Now in our eleventh year, The Coding Network has evolved into eight Divisions. Each Division is directed by a national expert in their field. The eight Divisions include: Orthopedics, Surgery, Radiology, Evaluation and Management, Emergency Medicine, Anesthesiology and Pain Management, Pathology, and Ambulatory Surgery Center Services. All eight Divisions deliver ongoing remote coding services, coding compliance reviews, and physician documentation training. As a result of both our broad spectrum of coding services, and as a tribute to each Division's excellence, The Coding Network provides services to an all-star list academic facilities, hospitals, and community based practices with clients in 47 states.

Organization
The Orthopedic Coding and Consulting Services Division is directed by Heidi L. Stout, CPC, CCS-P, a nationally recognized surgical coding expert with more than 20 years of orthopedic coding experience. Heidi is responsible for recruitment, training, and supervision of the coders. All of our orthopedic coders are certified procedural coders. Heidi monitors the coders' work, conducting regular quality assurance reviews to ensure the highest coding compliance standards.

The Coding Network's growth has been fostered by using certified coders with significant backgrounds in coding in their particular specialties and then, honing their skills through superior training. Allowing our coders to focus their skills on very specific specialty areas encourages them to become experts in their respective fields. We provide our clients with a team of experts rather than relying on limited in-house expertise.

Workflow
We will code your operative reports usually within two to three business days after receipt. Our service is simple to implement. Send us a copy of the operative report and the patient demographic sheet, either hard (paper) copy (via overnight carrier or secure fax) or scanned image (via the internet). We will send you the correct CPT codes and modifiers linked to the proper diagnostic codes. Our coders will also alert you to any deficiencies in your documentation.

Clients can utilize eWebHealth's product to facilitate the scanning and transmission of electronic images. eWebHealth has several interfaces to accounts receivable billing programs that expedite the posting of the procedural and diagnostic codes to the system. eWebHealth uses HIPAA compliant encrypted software to transmit the medical records.

In addition to our ongoing coding services which may include all of your operative cases or just a particular subspecialty (i.e., spine cases), we offer second opinion coding services, backlog resolution coding services, vacation coverage, temporary coding services, coding compliance reviews, physician documentation training courses, and coding helpline services.

Orthopedic Coding and Consulting Services Pricing
1. Ongoing Coding Services
Includes application of CPT procedural codes and modifiers, verification of the Correct Coding Initiative's bundling guidelines, ICD diagnostic code assignment, and identification of documentation deficiencies. Provided an even workflow, turnaround time is usually 2 to 3 business days from our receipt of the operative reports.

Surgical Coding:
The Coding Network's Orthopedic Coding Services cover all subspecialties including: general orthopedics, sports medicine, hand, foot/ankle, spine, joint, and oncologic orthopedics.

The Coding Network's E&M Coding Services cover CPT procedural coding, modifier application, and ICD diagnostic coding. Feedback on documentation deficiencies included. Includes: consultations, new and established office visits, hospital admits, visits, and discharges.

2. Second Opinion Coding Services...................................................................... $19.00 Per Case

This service permits coders or physicians to send our orthopedic coding specialists those complex cases where the coding paradigm may be unclear. Our certified coders will either review your proposed coding or code the case from scratch, whichever you prefer. The service allows your practice to double check that correct coding is being assigned the first time and every time. There is no minimum; you only pay for the services you use.

3. Backlog Resolution Coding Services......................................................... See Section 1 Pricing

Includes coding services to assist orthopedic groups clean-up coding backlogs.

4. Vacation or Temporary Coding Services................................................... See Section 1 Pricing

Includes coding services to help orthopedic groups stay current with their coding to avoid cash flow peaks and valleys that can occur as a result of coder vacations, maternity leaves, prolonged illnesses, or terminations.

5. Coding Compliance Reviews

We recommend quarterly reviews for the highest level of compliance overview but realize that many practices seek to fulfill the OIG's recommendation with an annual review by an independent review organization such as The Coding Network.

Recommended Quarterly:

We recommend a sample of 10 operative reports per physician and 20 Evaluation and Management visits, including both new and established patients. For each transaction, The Coding Network requires either the operative report or the medical record documentation of the visit and a copy of the corresponding claim form that was submitted for the encounter.

The Coding Network will produce a patient-by-patient coding comparison of the original coding, our recommended coding, and a narrative describing any variances. A summary report of our findings also accompanies the coding comparison.

6. Physician Documentation Training..................................... $2,500 Per Day Plus Travel Expenses

Includes an on-site documentation training course of approximately 3 hours that covers operative report dictation issues specific to orthopedic surgical procedures and Evaluation and Management services documentation review from a compliance and coding perspective. A question and answer period is included, as well as, an orthopedic documentation syllabus for each attendee. Two classes may be held per day with no class size limitation.

7. Coding Helpline Services....................................................................... $37.50 Per Quarter Hour

This service provides a certified orthopedic coding specialist to research and answer your coding questions about broad issues rather than patient specific issues (patient specific issues are better addressed with our Second Opinion Coding Service). Questions may be sent via fax, email, or phone to our coding specialists. There is no minimum; you only pay for the services you use.
